Adecco Associate Operations Solution

Context

Associate Operations leverages technology to help transform staffing operations – providing real time associate availability, simplified assignment management and automated time interpretation.

A modular and scalable web application that can be configured and customized as per specific needs of Adecco countries in order to manage complexity associated with assignment set-up, time and attendance, approvals and interpretation – driving an efficient order to cash cycle and optimizing staffing operations.

The product had been developed into an Alpha version that had been reviewed and tested by the business. Adecco needed assistance with further development of a Beta version to enhance the User Experience and update the UI to the new branding.

The project looked at 6 areas of focus.

  1. Review and analysis of the current built App system.

  2. Undertake interviews with key stakeholders to understand the purpose of the solution and how it is used, also to gain insight on any pain-points.

  3. Competitor analysis / benchmarking.

  4. Interactive prototype creation / stakeholder review / feedback

  5. Integrate new Adecco group branding and the enhanced User Experience requirements

  6. Produce a design system and pattern library for the development team

Based on the insight from the interviews and also best practice of user experience through analysis of competitors, the main objectives of the project looked to find ways to enhance the solution for each existing user type through:

  • Findability – clarity on how to get to specific data, quickly

  • Signposting – to help users understand what they are doing/linking to

  • Consistency of approach – through consistent user experience

  • Volume of entrants – making it easy to view, find & sort data

  • Clarity of differentiation of access types

Stakeholder Interviews / Analysis

4 half hour interviews were undertaken with the following participants engaged in early 2021 to review the site and discuss priorities for amends.

Each interview showcased the system and asked the attendee to recommend key changes that would benefit the end user.

👨🏼‍💼

Andreas Sorensen - Solutions Architect of AO app

  • Would like to see filtering improved
  • Should explore Smart search - faster way to find what you need
  • Email will be the unique identifier to users(avoids issues with same names)
  • Work order
  • Assigning users section - current risk that users will addassociates name but assignment won't be created until it's saved
  • Manage requests - alignment of headings -some left aligned, some centralized
  • EU vs US date format is different, could be addressedin upcoming sprint

🧑🏻‍💼

Robert Thomas - Group IT Lead Middle Office

  • Some buttons are unintuitive
  • Dashboard – needs to align to user needs/personalised
  • Should be info/signal to who you are logged in as
  • Assignment Overview - Fields are not sufficient, needs more explanation.
  • Calendar view could be a critical page, almost the default view.
Could show available jobs to fill, powerful for sales team
Consolidated view to allow users to see ALL job orders
(e.g. not having to scroll through 30 amazon orders)
  • Work order notification icon to signify you have items to progress
  • Assignment details overview
Logical sequence doesn’t make sense(fields not in right place).
    Optimize where fields sit etc.
Start date/time should be one field

🧑🏽‍💼

Miroslava Hodáňová - EMEA HR Lead

  • Improve look of buttons
  • Icon functionality
  • Key use will be exporting monthly data for internal staff
  • Calendar view
  • Event type, ability to select multiple Event Types
  • Differentiate between working and non-working days, would help show opportunities

👩🏽‍💼

Dianne Thornett - Director - Shared Services

  • Must be intuitive with a clear simple layout
  • End users will be handling large volumes of data, must be able to find specific files quickly (Ability to find one record out of 100,000 timesheets)
  • Assignments Overview - not clear what is active vs future and status of assignment history could be useful
  • Calendar view - Assignment detail not immediately clear
  • Required actions should be made clear to the user
  • Work orders - current status of the system won't be able to handle size of data

Roles

With three key user roles that access the Associate Operations app, the projects objectives were to enhance the user flow for each of them, with some changes being role specific and others being generic to all roles.

After the process flow was defined, I created high fidelity wireframes for client approval. Then a design system and pattern library ready to handover to the Adecco development team.

Process flow

The following process flow was created to help outline the core role requirements for each user level. Creating work orders for assignment and work capture through to approvals and exporting data to payroll.
